Cost Codes Setup

The form is designed to enable the entry of all the reference codes used by the organisation, including the cost codes, manpower (trade) codes, materials codes, and PMV (Plan, machinery and vehicles codes) in hierarchical view. The creation is limited to one form only, the related codes will be used among all the projects and budgets.

  1. Select the cost codes setup form to create a new project, then click 'Create Form' as shown in Figure 1. You can click on the (+) icon on the left or create a form on the top right.

  2. Add the different levels for your CBS by clicking on the (+) icon and the description for each level, then click on send on the bottom right to save the form. Division type and dependencies are not required to be updated. Don’t worry if a description needs to be changed after saving the form, edits are available.

  3. You can now see the created form in the listing area. Click to access the form and start updating the codes. You can return to the form anytime after its creation to update additional codes.

  4. Select the required tab and then click 'Add New Cost' to add your cost codes.

  5. The add new will open a row to enter the data as shown in Figure 5. Update the level, cost, description, add the parent to have the hierarchy where the system will show you the generated code and then click on add. The same step applies to all codes at different tabs, where you can update other codes (manpower, materials and PMV). 'Overheads' and 'Subcontract' are not mandatory.

  6. Updated codes can be deactivated by changing the status. You can search for a code by accessing the search area at the top, as shown in Figure 6.

  7. You can edit the levels or add new levels by accessing the settings tab, as shown in Figure 7.

    Recommendation: You can add dummy codes if any area won't be applicable. For example, a BOQ code with (Not Applicable) in the description is to be used for Indirect cost items.
